Confidentiality Policy

The purpose of this policy is to set up a framework to ensure that, in the legal relations – of any kind – conducted by SC LINGUA TRANSCRIPT SRL with third parties, data confidentiality is observed in full – be it personal data or confidential data, information, records constituting a professional secret, business secret or any other kind of secret.

SC LINGUA TRANSCRIPT SRL undertakes and hereby requires all its employees and contributors to comply with specific levels of confidentiality, according to the terms and conditions in the notice/ consent/ initial contract under which the personal or confidential data is collected or transmitted.

To this end, SC LINGUA TRANSCRIPT SRL undertakes and hereby requires all its employees and contributors to comply with the legal and regulatory requirements regarding the records of data, including the General Data Protection Regulation, all the applicable prescription periods and all the tax/ financial requirements established by government bodies or regulatory authorities.

SC LINGUA TRANSCRIPT SRL undertakes and hereby requires all its employees and contributors to consider that the creation of fake or deceiving entries is strictly prohibited.

SC LINGUA TRANSCRIPT SRL undertakes and hereby requires all its employees and contributors to consider that the entries and collected personal data will not be used for inadequate purposes or for other purposes than the initial ones communicated to the client or to the person in question, in the notice / consent form.

SC LINGUA TRANSCRIPT SRL undertakes and hereby requires all its employees and contributors to consider the necessity of the formal examination, at least once a year, of whether the entries or data they are processing or which they are holding should continue to be kept or should be destroyed and to make sure that this Policy is followed. Personal data will be stored for a maximum 10-year period, but no longer than necessary to achieve the purposes for which such data and information were collected or transmitted initially, unless we are required under the law to act otherwise.

SC LINGUA TRANSCRIPT SRL undertakes and hereby requires all its employees and contributors to consider the fact that it is strictly prohibited that third parties are granted access to the personal data or the data and information, documents and confidential entries of a person in question, unless this access is strictly connected with the initial purpose for which the data was collected or transmitted. As provided by the law, the exception is the obligation to disclose the data, information and entries to authorities, the police, courts of law, etc.; in these cases, any requests received should be notified to us immediately, in order to establish – on a case-by-case basis – whether it is or it is not necessary to disclose the said personal data, whether it is or it is not necessary to notify the person in question, etc.

If possible, before any kind of personal or confidential information is disclosed to third parties, these third parties should be requested to sign a standard confidentiality agreement containing terms and policies at least similar with those in this policy.
